Are you looking for a new challenge? Do you want to get involved with IDJTA?

IDJTA wants you. The following list is the skills that are needed to keep our club humming along smoothly. It’s easy for players, parents and supporters to get involved in the day to day running of the club and make a greater contribution to community sport.

From assisting with coaching, coordinating fixtures, assisting with the canteen, office administration, marketing and social media there are many opportunities to get involved with the club.

Management Committee roles

The management committee is elected to govern the club. The most important duties of the committee are to focus on planning, strategy and informed decision making:

It’s vital that the management committee is supported by additional volunteers to deliver on the committee’s decisions:

President

The president is the club’s leader and ambassador. While the president has important responsibilities, this does not mean that they are the boss of the club or must do all of the work. As the management committee collectively is the accountable decision-making body of the club, the president, as a committee member, holds the same level of authority as any other member of the committee. Other responsibilities include:

  • Strategic direction – Help set the direction of the club, prioritise goals and oversee the delivery of outcomes, in consultation with relevant parties and consistent with the views of members.
  • Ambassador – Act as the club’s ambassador in a professional, positive and appropriate manner. Be a primary contact between the club and outside contacts e.g. peak body and local council.
  • Chair – Preside at meetings and preserve order.
  • Rules and Policies – Have a good working knowledge of the club’s constitution, rules and policies. Drive the implementation of policy updates and good governance procedures.

Vice-President

The vice-president is the club’s assistant leader. The vice president’s role is to assist the president and other club officers in completing their duties. They are there to help where needed and take on an important leadership role. Often, the vice president may be a former or prospective next president, subject to election, and therefore might play a mentoring role or act as a shadow to the president. Other responsibilities include:

  • Support the president – Assist the president in carrying out their duties and assume the duties of the president in their absence.
  • Deputy chair – Act as deputy chairperson for club meetings.
  • Planner – Monitor the club’s strategic plan, ensuring the day-to-day functions are moving it in the right direction. Keep an eye on the ‘big picture’.
  • Rules and Policies – Have a good working knowledge of the club’s constitution, rules and policies. Assist the president to drive the implementation of policy updates and good governance procedures.

Secretary

The secretary is the administrator of the club. The secretary’s role is to manage meetings and correspondence. The secretary will prepare notices, agendas and minutes and follow-up on action items collaboratively with other committee members. Other responsibilities include:

  • Coordinate meetings – Coordinate meetings of the committee and members, including the AGM. Work with the president to draft the agenda, distribute notices and take formal minutes.
  • Correspondence – Attend to correspondence on behalf of the committee and oversee effective communication with members.
  • Support the president – Assist the president, vice president and treasurer in carrying out their duties.
  • Rules and policies – Have a good working knowledge of the club’s constitution, rules and policies. Assist the president to drive the implementation of policy updates and good governance procedures.

Treasurer

The treasurer is the club’s financial manager, although this does not mean that they are the boss of the monies for the club. While the treasurer is responsible for managing the club’s financial records and bank accounts, the entire committee is accountable for the club’s financial performance and solvency. The committee is also responsible for where monies are spent on the club. Other responsibilities include:

  • Record keeping – Provide relevant financial information to the committee and members, ensuring everyone clearly understands the allocation of the club’s funds.
  • Budgeting – Prepare the club’s budget and monitor income and expenditure against budget forecasts to ensure future financial stability and growth.
  • Reporting – Provide reports at meetings as required under the club’s constitution.
  • Rules and policies – Have a good working knowledge of the club’s constitution, rules and policies. Establish effective financial controls to protect the club’s funds from fraud and mismanagement.

Committee Member

Basic responsibilities of all committee members include:

  • Read and be familiar with IDJTA constitution
  • Understand the conditions under which the club operates as an incorporated association and how it is affiliated to our peak body
  • Set the club’s strategic, long-term direction
  • Attend committee meetings and general meetings with members, including being prepared and making well-informed decisions
  • Keep a close eye on the club’s financial position at all times
  • Engage proactively with members
